RW Paintball Policies and Terms of Service

RWPC Associates Ltd (trading as RW Paintball & The Paintball Company) operates multiple paintball sites and services across the UK. These Policies apply to all bookings, use of our services, websites, and any partner or third-party site operations bearing our branding or contracted through us.

1. Booking and Payment Terms

  • Customers must provide accurate and complete information when booking. Failure to do so may lead to cancellation without refund.

  • Bookings are only confirmed once deposit or full payment has been received. Deposits are non-refundable except as provided herein or by law.

  • We accept payments through secure third-party platforms including Square, Stripe, and PayPal. Payment details are not stored by RWPC Associates Ltd.

  • Balance payments are due as stated per booking; failure to pay may result in refusal of service.

Cancellation, Rescheduling, and Refunds

  • Deposits paid by customers at the time of booking are non-refundable in the event of customer cancellation under any circumstances. This includes cancellations made with or without notice.

  • RWPC Associates Ltd strongly recommends that customers carefully consider dates and numbers before paying deposits, as these funds will be forfeited if the booking is cancelled by the customer.

  • If RWPC Associates Ltd or a third-party partner cancels the booking for reasons within their control, an alternative date or venue will be offered, or a full refund of deposits will be issued.

  • In cases of force majeure such as government lockdowns or restrictions, deposits will be held over and transferable to new bookings when services resume; refunds will not be granted.

  • Any balance payments are due as agreed and are subject to the same cancellation and refund terms.

  • Refunds on unused paintballs or extras purchased on the day will not be provided.

  • Customers cancelling bookings must provide 14 days notice. In which case no refund will be issued but we may offer to hold deposits open to rebook with a given time period.

3. Indemnity and Liability

  • Participation in paintball and related activities involves inherent and foreseeable risks including physical impact, injuries, and equipment malfunction. By booking or taking part, you acknowledge and accept these risks fully and agree that RWPC Associates Ltd, its directors, officers, employees, contractors, agents, and any third-party operators, are indemnified against any claims arising from injury, damage, loss, or negligence.

    Furthermore, you agree that RWPC Associates Ltd shall not be liable for any dissatisfaction, injury, or loss resulting from unrealistic or unmet expectations regarding the nature, difficulty, or outcomes of paintball activities. All participants are responsible for understanding the rules, safety requirements, and risks before participation.

    This clause is intended to ensure you, as clients, enter this activity with appropriate awareness and that RWPC Associates Ltd is protected from claims based on misunderstandings or unrealistic assumptions about the paintball experience.

  • RWPC Associates Ltd excludes liability for incidents occurring at partner or third-party venues where we do not directly control operations. We recommend carefully reviewing site-specific rules and insurance provisions.

  • Participants waive all claims for injury, loss, or damage to clothing or property arising from participating in activities.

4. Safety and Site Rules

  • All players must adhere to mandatory safety instructions, use authorised protective equipment, and follow staff directions.

  • RWPC Associates Ltd reserves the right to refuse entry or remove persons breaching safety or conduct rules without refund.

  • Alcohol is prohibited on site until all activities conclude.

5. Data Protection and Privacy

  • RWPC Associates Ltd complies with the UK Data Protection Act 2018 and GDPR principles.

  • We use third-party services to manage bookings, payments, and communications:

    • Acuity Scheduling for booking management

    • Square and Stripe for payment processing

    • Google services for email and analytics

  • These providers handle your personal data in accordance with their own privacy policies. RWPC Associates Ltd does not store or process payment card details directly.

  • You have rights to access, correct, and request deletion of your personal data as outlined in our Privacy Policy.

6. Intellectual Property

  • All website content, logos, trademarks, and branding are the exclusive property of RWPC Associates Ltd and its licensors. No unauthorised use is permitted.

7. Third-Party Links and Services

  • Our services may link to third-party websites or use third-party software. RWPC Associates Ltd is not responsible for the content, privacy practices, or business operations of these third parties.

8. Gift Vouchers

  • Gift vouchers may be available and governed by additional terms at purchase. Acceptance of gift voucher bookings is subject to availability.

9. Amendments to Policies

  • RWPC Associates Ltd may amend these policies at its sole discretion with reasonable notice. Continued use of services after amendments constitutes acceptance of updated terms.

10. Governing Law and Dispute Resolution

  • These terms and policies are governed by English law. Disputes will be subject to the non-exclusive jurisdiction of English courts.
